This Privacy Policy explains how Dar Ul Hadith collects, uses and protects your personal information when you use our website and when you donate, register for our activities or complete a Gift Aid declaration.

We collect personal information that you voluntarily provide to us when you:

  • make a donation,
  • complete a Gift Aid declaration,
  • register for our schools, clubs and events,
  • or otherwise contact us.

This information may include:

  • Contact Information: name, email address, phone number.

  • Donation Information: donation amount, date, donation method and frequency.

  • Gift Aid Details: full home address (required by HMRC to verify UK taxpayer status) and confirmation that you are a UK taxpayer.

  • Registration Information: participant names, dates of birth, emergency contact details and other necessary registration data.

  • Technical Data: IP address, browser type and device information (used for site security).

3. How We Use Your Information

We use and process your personal data for the following purposes:

  • To Process Donations: To complete your donation transaction and send you a receipt.

  • To Claim Gift Aid: To process your Gift Aid declaration and claim the additional funds from HMRC. we are required to keep Gift Aid records and to provide accurate information to HMRC when reclaiming tax.

  • To Manage Registrations: To process your sign-ups, manage your participation in schools, clubs or events, and communicate with you about these activities, including safeguarding and safety communications

  • To Communicate: To send you updates about your donations, registrations and (where you have opted in) updates about our work, unless you have opted out of receiving such communications.

  • To Improve Our Services: To analyse website behaviour to enhance our website and services.

4. Gift Aid

  • Gift Aid declarations require us to collect and retain your home address and the donor declaration. Processing Gift Aid data is necessary to comply with HMRC requirements (legal obligation).

  • We will retain Gift Aid declarations and associated records for at least 6 years after the end of the accounting period to which they relate, in line with HMRC guidance. After this period, data will be securely deleted.

5. Data Security and Third Parties

  • Payment Processing. Your payment information (credit/debit card details) is never stored on our servers. All payment processing is securely handled by our trusted third-party partners, Stripe and Square. Each service’s own privacy policy governs the collection and use of your payment data.

  • Data Protection. We are committed to protecting your personal data and have implemented appropriate security measures to prevent unauthorised access, disclosure, or alteration of your information.

  • Storage & access: We store donor and Gift Aid records securely (access restricted to authorised staff only). We use technical and organisational measures to protect data from unauthorised access and accidental loss.
  • Information Sharing. We will not share, sell or rent your personal information to third parties without your explicit consent, except as required by law. 

6. Marketing & separate consent

If you want to receive news and updates from us, we will ask you to opt in separately. You can withdraw this consent at any time.

Transactional communications (receipts, donation confirmations, Gift Aid confirmations) are separate and will be sent where necessary to administer your donation.

7. Your Rights

You have the right to:

  • Access: Request a copy of the personal information we hold about you.

  • Rectification: Ask us to correct any inaccurate information.

  • Deletion: Request that we delete your personal information. (Note: we may be legally required to retain Gift Aid records for HMRC, in which case we cannot erase those records until the statutory retention period ends.)

  • Withdraw Consent: Withdraw your consent to Gift Aid at any time by contacting us.

8. How long we keep your data

  • Gift Aid declarations and related records: minimum 6 years after the end of the relevant accounting period (HMRC requirement).

  • Donation transaction records: retained for statutory accounting periods (typically 6 years).

  • Marketing preferences and contact details: retained until you withdraw consent.

  • We review retention periods regularly and securely delete or anonymise data when no longer required.
